By accessing or using the DSI Leave System, you agree to be bound by these Terms. This system is the property of DSI and is intended solely for authorized internal business operations.

1. Account Usage & Security
  • Credentials: You are responsible for maintaining the confidentiality of your login credentials. Sharing passwords is strictly prohibited.
  • Authorized Access: Access is restricted to active employees. You must only access functionalities assigned to your specific role (Employee, HOD, HR, Admin, or Security).
  • Session Management: Users must log out from shared devices immediately after use to prevent unauthorized access.
2. Leave Request Integrity
  • Accuracy: All leave requests must accurately reflect the intended dates and OUT/IN times. Falsification of time records is a violation of company policy.
  • Duplication: Do not submit multiple requests for the same time slot.
  • Binding: An approved leave request in this system constitutes a formal record. Changes must be processed through the cancellation or amendment workflows.
3. Operational Workflows & Approvals

The system enforces the following approval hierarchy based on organizational structure:

Requestor Role Primary Approver Final Approver Appeal Process
Standard Employee Head of Department (HOD) Admin If HOD rejects, one-time appeal to HR (Final).
Head of Department (HOD) Admin Admin If Admin rejects, appeal to HR (Final).
HR Personnel System / HR Policy Auto-Approved* Subject to internal audit.
Note: While this system tracks approvals, final decisions regarding leave eligibility are governed by the Employee Handbook and HR Policy.
4. Security Gate Protocols
  • Verification: Security personnel must verify the employee's identity and valid leave code before authorizing exit or entry.
  • Real-Time Logging: OUT and IN timestamps must be marked in the system at the exact moment of the event to ensure report accuracy.
  • Prohibition: Marking attendance or gate passes for absent employees is a severe disciplinary offense.
5. Prohibited Conduct
  • Attempting to bypass authentication mechanisms or access data outside your department/scope.
  • Injecting malicious code, scripts, or attempting to compromise system stability.
  • Exporting bulk employee data without specific written authorization from HR or IT Administration.
